Refiny Company Limited stand firmly behind the quality of our technology and the expertise of our services. At Refiny, we are committed to providing the highest level of accuracy for your business needs. If we make an administrative error on your order, we will rectify it promptly at no additional cost to you. For all other situations, your eligibility for a refund is outlined below.

Filed Products and Government Submissions

For services that require the submission of documents to a government authority (such as the Hong Kong Companies Registry, Vietnam’s National Business Registration Portal, the US States Agencies), the following rules apply:

– Pre-Submission Refunds: You may request a refund of your service fees within 60 days of your purchase, provided that Refiny has not yet submitted your documents to the relevant government agency.

– Post-Submission Policy: Once your documents have been submitted to a government entity, our service fees become non-refundable. At this stage, the service is considered fulfilled regardless of the government’s final decision (approval, rejection, or request for evidence).

– Bundled Orders: If you purchase a package containing multiple products or services, the entire order becomes non-refundable once any single component of that package has been submitted to a government agency.

Examples: This policy applies to services including, but not limited to, LLC formations, Corporation incorporations (US/HK/VN/CN), Trademark filings, etc.

Non-Filed Products & Digital Documents

For services and products that do not involve submission to a government authority – such as customized legal templates, business contracts, or internal corporate documents – the following refund terms apply:

– In-Progress Orders: You may request a refund within 60 days of purchase, provided that the order has not yet been completed. An order is considered “in-progress” while our team or system is still preparing your documents.

– Completed Orders: Once an order is marked as “Completed” – meaning the final documents are available for download in your Refiny account or have been dispatched via email or courier, our service fees become non-refundable. At this stage, the service is considered fulfilled regardless you download it.

Examples: This policy applies to documents such as Articles of Association (Charter), Operating Agreements, Shareholders’ Agreements, Employment Contracts, and internal Board Resolutions.

Specific Terms for Specialized and Subscription Services

In addition to our general policies, the following terms apply to specific categories of products and recurring services:

– Subscription Services For recurring services, including but not limited to Registered Office Address, Corporate Secretarial Services, and Compliance Monitoring Plans:

– Initial Purchase: You may request a full refund of your service fees within 30 days of the initial subscription purchase, provided that no official filing has been performed and no government fees have been disbursed on your behalf.

After 30 Days: After the first 30 days of your subscription, Refiny will no longer issue refunds for the current billing period.

Renewal Charges: Subscription renewals are generally non-refundable. To avoid being charged for a subsequent period, you must cancel your subscription at least 7 days before the scheduled renewal date.

Important Limitations on Refunds

To ensure transparency, please take note of the following non-refundable costs:

– Third-Party Processing Fees: Refunds apply only to the service fees charged directly by Refiny. We cannot refund fees paid to our third-party service partners, including but not limited to payment gateway processing fees (e.g., Stripe, Airwallex, or ZaloPay), identity verification services, or local professional consulting fees.

– Government Filing Fees: Once Refiny has submitted your paperwork to a government entity (such as the Hong Kong Companies Registry or the Vietnam Business Registration Office), all government-mandated filing fees are strictly non-refundable, as these funds are remitted directly to the public authorities.

– Courier & Logistics: Any costs incurred for the physical delivery of documents via international or local couriers (e.g., SF Express, DHL, or VNPost) are non-refundable once the shipment has been initiated.
